The Client
Our client is a privately held road transportation and logistics company operating a dedicated truck fleet across a wide regional network of more than thirty cities. Like many mid-sized carriers, it serves a mix of corporate accounts and cash customers, and its margins depend on tight coordination between dispatch, drivers, finance, and sales.
Also like many carriers, its operations ran largely on messaging apps, spreadsheets, and paper. Trip details lived in per-vehicle spreadsheets. Fuel receipts, driver payment slips, and customer delivery notes arrived as photos or paper. Sales leads were captured on business cards and in memory. The company had invested in a modern ERP, but getting day-to-day operational data into it meant hours of manual re-keying — so the ERP was always behind the business.
The Challenge
The brief InfinityX Digital received was simple to state and hard to solve: make the ERP the single source of truth without changing how field staff actually work. Drivers and coordinators were not going to fill in forms from the road. Office staff could not keep transcribing receipts and trip sheets. And the sales pipeline needed to move out of pockets and notebooks and into the CRM, where it could be managed.
Our Approach: Meet the Team Where They Already Work
Rather than introducing new software for staff to learn, we built an AI operations assistant inside the messaging app the team already used every day. Staff interact with it the way they interact with a colleague — a text message, a voice note, or a photo. Behind the conversation, an orchestration layer of AI agents interprets each request, extracts structured data, and executes the right transaction in the company’s ERP and CRM.
The assistant understands intent automatically. A photographed business card is recognized as a new contact. A photographed pump receipt is recognized as a fuel expense. A voice note describing a deal becomes a CRM opportunity. Every action ends with a confirmation message back to the requester, keeping a human in the loop at all times.
What We Delivered
1. Opportunity and contact management by chat
Sales staff can create and look up CRM records without ever opening the CRM. The assistant captures new contacts from a typed message or a photo of a business card, reading the card with AI vision and filing a clean, correctly formatted record. New opportunities are created conversationally — the assistant asks for the deal title, contact, expected revenue, and win probability, validates the answers, and posts the opportunity to the pipeline. Staff can also query the system in plain language: asking for a customer’s details or for open opportunities returns an organized summary, filtered to strong matches so responses stay useful.
2. Document automation for field paperwork
Three of the most painful paper flows in a trucking business — fuel receipts, driver payment slips, and customer delivery notes — are now handled by photo. A driver or coordinator snaps a picture, the assistant’s vision models classify the document and extract its contents, and a short follow-up exchange links it to the correct truck and trip. The document and its data land in the ERP against the right record, and the sender gets a confirmation. What used to be an envelope of paper reconciled days later is now structured ERP data within moments of the transaction.
3. Automated trip planning and invoicing
Trip logs maintained per vehicle in spreadsheets now feed the ERP automatically. As coordinators record trips, automation picks up each new entry, and AI agents clean and standardize the data before it goes anywhere — correcting misspelled route and city names against the company’s network, normalizing dates, and validating trip references. Each trip becomes a task in the company’s daily trip planning and invoicing project, with corporate-account and cash-customer trips routed down separate billing paths so invoicing follows the right process for each customer type. Empty repositioning legs are tracked distinctly, giving management visibility into unbilled kilometers.
4. Data quality by design
Automation is only as good as the data it moves, so validation is built into every flow: structured output checks on every AI extraction, standardized city and route naming across the network, consistent formatting rules for contacts and revenue figures, and confirmation messages that let staff catch anything unusual before it propagates.
Under the Hood
The solution combines a workflow orchestration platform with large language model agents and the client’s existing systems: the ERP and CRM remain the system of record, spreadsheets remain the coordinators’ working surface, and the messaging app remains the interface. The production system runs nearly twenty specialized AI agents across more than two hundred automation steps — each agent narrowly scoped to one job, from intent classification and document reading to data formatting and record creation. Narrow scope is deliberate: small, single-purpose agents are more accurate, easier to test, and safer to run against live business systems than one monolithic bot.
The Impact
• Field-to-ERP in moments. Receipts, delivery notes, and trip data reach the ERP as structured records almost as soon as they exist, instead of after days of manual entry.
• A pipeline that lives in the CRM. Contacts and opportunities are captured at the moment of the conversation — from a card, a chat, or a voice note — not reconstructed later.
• Invoicing that keeps pace with operations. Trips flow into the billing process automatically, with corporate and cash work correctly separated.
• Adoption without training. Because the interface is the messaging app staff already use, there was no rollout friction and no new software to learn.
• Cleaner data everywhere. Standardized naming and validation mean reports and dashboards built on the ERP can finally be trusted.
What the Impact Looks Like in Numbers
To make the value concrete, the table below translates the two workflows this engagement automated into time and money, using benchmarks from a small transportation operation (a fleet of around ten vehicles) and a conservative back-office rate of £15 per hour over 22 working days a month.


These figures cover administrative time alone. The larger financial effect is usually on cash flow: when invoice backup documents assemble themselves, invoices go out days earlier, and days-sales-outstanding falls with them.
